Vendor Cancellation Policy: Addzena

1. Introduction

This Vendor Cancellation Policy governs the cancellation of orders by vendors operating on the Addzena platform. Vendors are expected to maintain accurate inventory and minimize order cancellations to ensure a positive customer experience.

2. Vendor Responsibility

Vendors must keep product inventory updated and ensure that listed products are available for sale. Orders should only be cancelled when a valid business or operational reason exists.

3. Permitted Reasons for Cancellation

A vendor may cancel an order only under the following circumstances:

  • Product is out of stock.
  • Product is expired.
  • Product is damaged.
  • Product fails quality standards.
  • Product is unavailable due to inventory errors.
  • Product cannot be legally sold or supplied.
  • Product has been recalled by the manufacturer or regulatory authority.
  • Any other reason approved by Addzena.

4. Prohibited Cancellations

Vendors shall not cancel orders for the following reasons:

  • Product price has increased after order placement.
  • Vendor received a better selling opportunity elsewhere.
  • Vendor wishes to avoid platform commission.
  • Personal preference without a valid business reason.
  • Repeated inventory management errors.

5. Cancellation Procedure

Before cancelling an order, the vendor must:

  • Verify product availability.
  • Confirm the reason for cancellation.
  • Update the vendor panel with the correct cancellation reason.
  • Notify Addzena through the platform, if required.

6. Repeated Cancellations

Excessive cancellations may negatively affect vendor performance. Addzena may take the following actions:

  • Warning notice.
  • Temporary reduction in product visibility.
  • Temporary account suspension.
  • Permanent removal from the platform in serious cases.

7. Inventory Management

Vendors are responsible for maintaining accurate stock levels and updating inventory regularly to avoid unnecessary cancellations.

8. Customer Impact

Vendors acknowledge that order cancellations may inconvenience customers and affect customer trust in the Addzena platform.

9. Fraudulent Cancellations

Any cancellation made for fraudulent, misleading, or unauthorized reasons may result in immediate suspension or termination of the vendor account.

10. Policy Updates

Addzena reserves the right to modify this Vendor Cancellation Policy at any time. Updated versions will be published on the platform and become effective upon publication.

Acceptance

By joining Addzena and accepting orders through the platform, the Vendor agrees to comply with this Vendor Cancellation Policy.
